The Department of Homeland Security (DHS) operates correspondence tracking tools to assist the Department in tracking and responding to inquiries from the public and reviewing official documents from DHS Components, other government agencies, Congress, the public, and the private sector. DHS receives and processes tens of thousands of pieces of correspondence ranging from letters to official rulings, policy statements, testimony, and legislative materials on an annual basis. DHS previously issued the DHS/ALL/PIA-007 Enterprise Correspondence Tracking (ECT) system privacy impact assessment (PIA) that solely covered the Department’s use of the ECT system to track such correspondence. DHS is expanding the scope of that previously published PIA to account for the additional correspondence tracking systems and tools used throughout the Department to track and manage incoming and outgoing inquiries and documents. Accordingly, DHS is renaming this PIA “DHS Correspondence and Inquiries Tracking Tools.” January 2023
